Chapter 13. Edit a Catalog Item

Overview

Use this tool to edit a catalog item for which you are the Catalog Item Contact. You will have an opportunity to preview how the catalog item will look when displayed in the catalog before you save your changes. If your organization moderates catalog items, this version of the catalog item will be sent to moderators for review.

Note

A Catalog Item is potentially displayable if the Profile is displayable and the Catalog Item is active, approved and set to display publicly. For more information, see Gating Profile and Catalog Item Display.

How to Edit a Catalog Item

Edit Basics

The catalog item name and category are required. You may be allowed to select one or more categories.

Name

Enter the name of the catalog item exactly as you want it to be displayed in the catalog.

Categories

Assign an appropriate category to this catalog item. The catalog item appears under this category heading when displayed. Depending on configuration, you may be able to assign multiple categories. All categories are custom to your organization, added by a 'Showcase Super Admin' through the Manage Catalog Item Categories tool.

Edit Details

You may edit the URL, description and keywords for this catalog item, upload a file or image and set options that control whether this catalog item is displayed in the showcase.

Contact

Select a contact from the list of available contact people. When a catalog item is displayed, the contact's full name and title is displayed along with link that allows visitors to contact them by email. Your organization may also allow catalog item contacts to edit catalog items to which they are assigned.

Description

The Description allows you to enter either plain text or HTML. Line breaks in a plain text description are translated to HTML breaks when the description is displayed, so you can enter simple paragraphs and lists without using HTML. When using HTML, some browsers insert more space than may be desired into your description. To test whether the description needs revision, view through a different browser. To conserve space when the description is displayed, remove as many line breaks as possible.

File

Upload a file for this catalog item. Visitors are more likely to download a file that has a meaningful filename and includes a filetype extension such as Brochure.pdf (rather than catitem_021502_draft).

Keywords

Enter words and phrases that will help showcase visitors find this catalog item. Keywords are hidden from the public and should supplement the information in the Description. To learn more about how keywords are used in searching and browsing, see Searching and Browsing..

Display Publicly

Should this Catalog Item be Displayed Publicly? Set this option to 'Yes' if it should be displayed publicly or 'No' if it should remain visible to administrators, profile owners and catalog item contacts only.

Note

If this is set to 'No', the catalog item will not be displayed to visitors searching or browsing the catalog.

Preview

The preview displays the catalog item exactly as it will appear in the showcase. If you want to make further edits, click the Back button. If your organization moderates catalog items and you are ready to submit this item for moderator review, select the 'Submit for approval' option. If you are not ready to send it for review, select 'Save as a working copy' so you can make more edits before sending it for review. When you are ready to save your edits, click the Save Catalog Item button.

Done

You've just edited this catalog item, and the results are displayed for your information. If your organization doesn't moderate catalog items and you've set it to display publicly, it may appear in the showcase immediately. Otherwise it may be pending moderation or saved as a working copy so you can make further edits.
