Chapter 26. Manage a Catalog Item

Overview

Use the Manage a Catalog Item tool to view and manage a catalog item. Search for a catalog item by name, profile, category, keywords or state, or enter a text string in the 'Description' field to retrieve all catalog items whose descriptions contain that string. The tool will return partial matches for whatever values you enter in the name and description fields, so you don't have to enter the exact value. Select the catalog item you want to view in more detail or manage. Once you've selected the item, links to tools will be displayed so you can edit it, moderate it, etc.

Note

A Catalog Item is potentially displayable if the Profile is displayable and the Catalog Item is active, approved and set to display publicly. For more information, see Gating Profile and Catalog Item Display.

How to Manage a Catalog Item

Search

Search by setting any or all of the optional fields to refine the search criteria. If you set search criteria in more than one field, only Catalog Items that match all your search criteria are retrieved. For faster searches, set criteria that efficiently retrieves just the catalog items you need. If you leave the search fields set to the default values, all available catalog items are displayed. The more catalog items retrieved through the search, the longer the search will take.

Name

To search by name, enter the name. The name must be exact (partial string matches are NOT performed on the Name field).

Description

To search by text included in a description, enter the text string in the 'Description' field. Partial string matches are performed on the Description field, so you may enter a full or partial string here.

Keywords

To search by keyword, enter the keyword(s). If you've entered more than one keyword, use the pulldown list to set the keyword search behavior.

Match Any

Select this value to return profiles that match any of the keywords (i.e., an 'OR' operation).

Match All

Select this value to return profiles that match all of the keywords (i.e., an 'AND' operation).

Exact Match

Select this value to return profiles that match all the keywords in the order in which they've been entered (i.e., a string matching operation).

Profile

To retrieve catalog items associated with a specific profile, set the profile.

Category

To search by category, select one or more categories.

State

To search by state, select the state.

Select

Select the catalog item you want to view and manage, then click the Select button.

Name

The name of this catalog item as displayed in the catalog.

Categories

A category to which this catalog item is assigned. If this is a subcategory, the category hierarchy is displayed. Depending on configuration, you may be able to assign multiple categories. All categories are custom to your organization, added by a 'Showcase Super Admin' through the Manage Catalog Item Categories tool.

These categories are used to classify the catalog item, and determine where the item is displayed in browses and how it is retrieved in searches.

State

The state of this catalog item. Catalog items in states other than 'Approved' aren't eligible for display.

Status

This catalog item's status. Inactive catalog items aren't eligible for display.

Display Publicly

The catalog item owner can set the Display Publicly? switch to 'No' to keep their catalog item hidden. If this is set to 'No', the catalog item isn't displayed in the catalog (although it remains visible to the catalog item owner and administrators). If this is set to 'Yes', the catalog item is potentially displayable (i.e., it is displayed if all other factors that gate display are set to allow display).

Last Modified

The date of most recent changes to this catalog item.

Manage

Information about the catalog item you selected is displayed, along with links to tools that you can use to manage it.

  • Click the View link to see how the item looks when displayed in the catalog.

  • Click the Edit link to amend or update the catalog item information.

  • If your organization moderates catalog items and this item is in a pending state, the Moderate link is displayed. Click this link to moderate this item.

  • Click the Delete link if you want to permanently remove this catalog item.

  • The View Activity History displays the Catalog Item Activity History.
